After requesting the quote, you will receive one or more quotes by email. We are happy to give you some guidelines and the course of reservation.

Communications

Please include the file number in the subject line each time you mail. This facilitates communication and keeps the mailbox organized.

What after confirmation?

  1. Compile program

After confirmation of the standard offer (hotel and transportation), we will send you a Google Form to make your choices about the program. In function of your departure date, please deliver this document by next date so that we have all the info in time for the reservations.

The journey continues in:

  • September, October, November, December: Google Form submission by May 15

  • January, February, March: Google Form submission against October 15

  • April, May, June: GoogleForm submission by December 15

Important to know: CLIPPER takes requests from restaurants, museums and the like, but we cannot guarantee that your requested visits/options/activities can be realized. The sooner you let us know what reservations you would like, the sooner we can get started for you and the better the chances of getting your desired visit at the desired time.

Option 1 (Paris): a customized CLIPPER program

In terms of programs, we have a number of established programs for school trips to Paris. These programs have proven over the years to be well balanced in terms of content and feasibility. Another advantage for you is that the whole thing is cheaper than if you put together a program yourself via the selection menu with reservations made by CLIPPER.

Option 2 (all destinations): CLIPPER à la carte

You can use the drop-down menu to create your own program from a list of sights, which is by no means comprehensive. It is a guide of most frequently chosen sights. This gives you the opportunity to include your own ideas or must sees for your students in your program.

2. Submit final numbers

Depending on when you travel, we need final numbers (students/teachers) by next date:

The journey continues in:

  • September, October, November, December: final numbers no later than by July 15

  • January, February, March: final numbers no later than by November 15

  • April, May, June: final numbers no later than by February 15

Important to know: These dates also apply when CLIPPER only reserves your accommodation and transportation. You will find this number later on the balance invoice. Cancellations are not possible free of charge after these dates.

Tip! If you notice a significant increase or decrease of the number of travelers (>5 students)? Then don't wait for the deadline, but let us know as soon as possible. This way we can still make additional reservations, recover costs or switch to another bus if possible.

3. Fill out documents

You will then receive from us some documents for ...

  • the room division

    • After the numbers of boys and girls, we will give you an excel file, in which you can classify the rooms by name. Please send this to us one month before departure, so that we can pass this list on to the residence as well.

    • for your information: hotels do not accept changes to numbers or rooms more six weeks prior to departure

  • the bus passes

    • we need this document signed with school stamp one month before departure to apply for bus passes

  • Insurance (only if you take out insurance through CLIPPER BV)

  • the menu choice (only for restaurant reservations): don't forget to mention any allergies or intolerances here.

  • Have you booked subway tickets at group rate through us? Then you must complete a 'Déclaration sur l'honneur' for each ride. You can find this document here.

    Tip: When checked in the subway, you must show this document. The easiest way is to photograph this completed document and share it with the accompanying teachers via WhatsApp. That way you don't all have to be in the same carriage together.

When should your program be ready?

We must forward your program to the bus company at least 1 month before departure. So we ask you to send it to us before that time so we can check it for feasibility and driving and rest times.

Please take into account the driving and rest periods of the bus drivers when preparing the program. Furthermore, we recommend limiting travel by bus in the center of Paris. As of 2030, tourist buses are no longer welcome there. The metro and while walking are better alternatives.

In the Google Form you can put your program with hours in different blocks. When we receive this completed document from you, we go over it together and make adjustments where necessary.

Requesting a quote

A brief overview of what we need when:

  • Request as early as possible. Return the quote for approval before the due date. Only then can we guarantee your chosen hotels and bus options.

  • Approximately 1 month after receipt of signed quote, in the amount of 30%.

  • The exact dates can be consulted above. In case of substantial changes, please inform us of the new numbers as soon as possible (e.g. in September or January).

    This will allow us to notify hotels of the changes in a timely manner.

  • Between 6 to 4 weeks before departure. (including the chosen program and individual reservations)

  • For room allocation, we ask that you send us the number of girls and boys two months in advance to determine the number of rooms.

    Afterwards, we will give you a document in which you can fill in the rooms with the full names. At the latest one month before departure we have to pass this list to the accommodation.

  • If any extras are added during the trip, you will receive another settlement after the trip.

    We also transfer the program of the trip to the bus company, taking into account the driving and resting times of the drivers.

    Many hotels require a deposit of €20 per person. This is best collected on the bus already in an envelope. If there are problems during the night, the hotel reserves the right to withhold the deposit. If there are no problems after checking the beds, the full deposit will be returned.
